How Service Agreements Work
What happens from generating a service agreement to the signed PDF landing in your workspace, plus how service agreements differ from user forms.

This explains what happens from the moment you generate a service agreement to the signed PDF landing in your workspace, and how service agreements differ from user forms. Service agreements are available on the Essentials and Pro plans.
Everything happens inside PaceCount
Signing is powered by a dedicated e-signature service behind the scenes, but you never leave PaceCount to use it. There's no separate signing account to create or manage — building templates, generating agreements, and downloading signed PDFs all happen in PaceCount Settings and your appointments, with your business details filled in for you.
The lifecycle, step by step
- Generate — from an appointment, choose Generate Service Agreement. Your business details, the customer's details, and the job specifics fill in automatically.
- Your side is handled:
- Client-only (default): PaceCount completes your business side automatically, so the customer is the only person who signs.
- Admin completes First Party first: if you turned this on for the template, you finish your side first, and only then is the customer notified.
- Customer is notified it's ready and signs from their portal or a direct link.
- Signed and stored — the signed PDF is saved to your workspace and emailed to the customer. Download it anytime from the appointment.
Service agreements vs. user forms
- Service agreements are tied to a specific appointment, use two roles (your business and the customer), and are meant for contracts and scopes of work.
- User forms are tied to a customer (no appointment needed), have a single signer (the customer), and are meant for questionnaires or standalone signature forms.
Use a service agreement when the document is about a job; use a user form for questionnaires or a one-off signature.
After signing
- Download the PDF from the appointment whenever you need it.
- If a customer declines, the agreement is marked declined and you're notified so you can follow up.
- Deactivating a template stops new agreements from being generated but leaves signed documents untouched. Deleting removes the template; existing signed documents are unaffected.
Common questions
- Do I need a separate signing account? No — everything runs through PaceCount.
- Is there a limit? Each plan includes a monthly e-signature allowance; see your usage in Settings → Licensing.
- A field didn't fill in. Check that the field name matches PaceCount's standard names exactly. See Build service agreement templates.
