Invite and Manage Staff
Add team members, control what each person can do, and give them their own schedules.
Last updated July 16, 2026
Staff Management is available on the Essentials and Pro plans. If you don't see a Staff tab, it isn't included on your current plan — see Plans and pricing overview.
Step 1 — Invite a team member
- Open the Staff tab.
- Invite the person by email. They receive an invitation to set up their account.
- Once they accept, they appear in your staff list and can be assigned to jobs.
Step 2 — Set their permissions
Each staff member has permissions that control what they can see and do. Open Manage Permissions for a person from the Staff tab to adjust their access. Grant only what each role needs — for example, a field technician may not need billing access.
Step 3 — Give each person a schedule (optional)
If you use Advanced Scheduling (Pro plan), you can give each staff member their own working hours and time off so jobs are only assigned when they're actually available.
- As an admin, for anyone: open the Staff tab and choose Manage Availability.
- As a staff member, for yourself: open My Availability from the calendar.
See Advanced scheduling overview for the full picture.
Step 4 — Assign work
Assign staff to appointments from the appointment details. With Advanced Scheduling on, the calendar's team timeline shows each person's day and shades the hours they aren't working, so you can place jobs confidently.
Common questions
- A staff member disappeared from my customer list. Once someone is promoted to staff they move out of Clients. You can still open their profile from the Staff tab.
- Can staff loosen the company's minimum buffers or notice? No — they can only make themselves more restrictive than your company defaults, never less.
- I don't need per-person schedules. Skip Step 3. Unscheduled staff are treated as fully available.
