Send and Track Invoices
Create, send, and track invoices once Stripe is connected — including deposits, due dates, consolidated invoicing, and where payouts and refunds live.

Once your Stripe account is connected and active, this is the day-to-day of getting paid: how money flows, how to send invoices, and where payouts and refunds live. Invoicing is available on the Essentials and Pro plans.
How money flows
When you invoice a customer, the payment goes directly to your own account — PaceCount never holds your funds.
- You create an invoice from an appointment (or the Billing tab).
- The customer gets an invoice email with a secure pay link.
- When they pay, PaceCount marks it paid and sends a confirmation.
- The money settles into your account on your Stripe payout schedule.
Create and send an invoice
From an appointment's billing section (or the Billing tab):
- Start a new invoice. Use Pull from Appointment to seed the line items from the services and prices already on the job, then edit as needed.
- Choose how to send it:
- Save as Draft keeps it editable and does not notify the customer.
- Finalize & Send locks the invoice and emails the customer a pay link.
- Track status from the appointment or Billing tab: draft, unpaid, or paid.
Drafts you never send are cleaned up automatically after about 30 days.
Deposits and balances
A deposit is a partial payment up front; a balance invoice bills the rest when the work is done. You can use both on the same customer — and any deposit already paid is credited against the balance so you never double-charge. See Deposits and invoices.
Due dates and reminders
Invoices are due on receipt by default. Turn on invoice due dates in Settings → Payments to set net terms (like Net 15) and send automated payment reminders as the date approaches.
Consolidated invoicing
If you bill some customers for several visits at once, turn on consolidated invoicing in Settings → Payments to combine multiple completed jobs for one customer into a single invoice, managed from the Billing tab. Consolidated invoices cover one customer at a time.
Payouts and refunds
Payouts and refunds live in your Stripe dashboard, which you open with Manage in Stripe from Settings → Payments. Set your payout schedule and bank, review payout history, and issue refunds there.
Common questions
- Why can't I create an invoice? Your payment account probably isn't active yet. Finish setup in Settings → Payments until the status reads active.
- Why did my customer get two emails? One is the invoice with the pay link; the other is the payment confirmation after they pay. Both are intentional.
- Can I edit an invoice after sending? Void it in Stripe and create a new one. Drafts stay editable until you finalize them.
