Staff Portal Basics

What team members can see and do when they sign in, and how their access is scoped.

When you invite a team member, they get their own sign-in to your workspace. What they see depends on the permissions you grant them.

What staff can do

Depending on their permissions, a staff member can:

  • View the appointments and jobs assigned to them.
  • Manage their own availability from My Availability on the calendar.
  • Access the parts of the workspace you've allowed — for example, customers or billing.

Permissions are least-privilege by design

Give each person only the access their role needs. A field technician might see their schedule and jobs but not billing; an office manager might have broader access. Adjust anyone's access anytime via Manage Permissions on the Staff tab.

Company rules are protected

Staff can make their own schedules more restrictive than your company defaults (for example, tighter notice or buffers), but never looser. Your business minimums always hold.

Common questions

  • Can a staff member change company-wide settings? Only if you grant that access. Core business settings stay with admins.
  • How do I stop assigning someone work? Adjust their permissions or availability, or remove them from the Staff tab. Their profile remains accessible for your records.
